Wedding Policies
Payments
A $600 facility charge for use of The Woods Room for your wedding reception is due upon the signing of the contract. An additional fee of $350 is due if you are having your ceremony at Prairie Woods Golf Course in addition to your reception. The estimated contract balance is due 7 days prior to your event. Any additional charges must be paid the day of the event.
Minimum Guarantees
Your approximate dinner count is required 30 days prior to your scheduled event. A guaranteed dinner count is required 14 days prior to your scheduled event. Your final bill will reflect your guaranteed dinner count or actual meals served, whichever is greater.
Menu Selections
All food and beverage for your event must be contracted with Prairie Woods Golf Course. Due to Health Department regulations, no outside food or beverage may be brought into Prairie Woods Golf Course, with the exception of your wedding cake, which may be purchased through a licensed bakery. Food and beverage prices are subject to change due to market prices, but prices are guaranteed 30 days prior to event.
Cancellations
If a confirmed event is canceled prior to one year from the scheduled date, your deposit will be refunded in full. If a confirmed event is canceled 61 days to one year in advance, a full refund will be provided only if Prairie Woods Golf Course is able to book another event of equal or greater size. If a confirmed event is canceled 60 days or less from the scheduled date, your deposit will be forfeited.
Gratuity
An 18% gratuity will be applied to all food and beverage purchases. A sales tax of 5.5% will be applied to all charges, including the gratuity charged, in accordance with Wisconsin state law.
Entertainment
All entertainment must conclude by 11:30pm the day of your event. The facility must be cleared by 12:00am. However, special arrangements to fit the needs of your celebration can be made with our wedding coordinator.
Decorations
Prairie Woods Golf Course will allow table decorations and most decorations to be brought in, subject to approval. We do not allow the affixing of anything to the walls, floor, lighting, or ceiling with nails, tape or any other substance. Excessive clean up could result in a charge. Prairie Woods Golf Course cannot assume any responsibility for personal property or equipment brought onto the premises.
Rentals
Table linens and linen napkins are included in your facility charge. Additional linens, chair covers with sashes, skirting, table runners, etc. are available for rent upon request. Mirrors, vases, as well as heating or cooling equipment may also be rented.
